How Providere is used to manage tenant and staff data

Plain-English summary

Providere is used to manage housing stock, tenancies, repairs, compliance, documents, and tenant portal access. Only the information needed to do that work is collected and stored, and it is kept for as long as needed for housing, legal, audit, and accounting purposes.

Who operates this service

Providere is a software product owned and operated by Innovation X Ltd (company number 12193715), registered office 148-150 Century Building, Tower Street, Liverpool, England, L3 4BJ.

A housing provider using Providere enters and manages information about its own tenants, residents, applicants, employees, and other individuals within the system. The responsibilities of the housing provider and Innovation X Ltd for that information are set out in the arrangement between them, and are not restated in full here.

Any contact about this privacy notice, or about how Providere is operated, can be sent to general.providere@outlook.com.

What we collect

Tenant names, tenancy dates, unit and block details, contact information, portal usernames, and uploaded documents.

Staff account information such as names, emails, roles, and organisation details.

Audit and workflow data that helps us track changes, tenancy history, and who accessed or changed a record.

Why we use it

To manage tenancies, property records, compliance checks, and repairs.

To create and manage tenant portal access.

To keep an audit trail of important changes and support housing administration.

Who we share it with

Only staff who need access to manage housing records and the tenant portal.

Service providers that support the app, storage, and authentication services.

Where needed, contractors or other parties involved in managing a tenancy or repair.

Your rights

You can ask for access to your data, correction of inaccurate details, erasure in some cases, restriction, objection, and portability where it applies.

The tenant screen includes an export option so we can provide data in a portable format more easily.

If you need a privacy request, contact us at general.providere@outlook.com.

Retention and security

We keep records for as long as they are needed for active tenancy management, legal obligations, audit, and dispute handling.

Access is restricted to authorised staff, and the app records significant changes in an audit log.

Uploaded documents and portal credentials are handled through controlled storage and authenticated access.

Cookies

Providere does not use advertising or analytics cookies, and no third-party tracking scripts are loaded.

Two cookies are used, both strictly necessary for the service to work: a session cookie that keeps you signed in, and a preference cookie that remembers whether the side menu is expanded or collapsed. Neither is used to track you elsewhere.

Questions or complaints

If you want to exercise your rights, ask a question, or challenge something on your record, email general.providere@outlook.com.

If you are unhappy with how we handle your data, you can also raise a complaint with the UK Information Commissioner's Office.
